Guidelines for Oral Presentation and Poster Sessions

Oral Presentation

Every room is equipped with an LCD projector and a laptop with Windows, PowerPoint and Acrobat PDF reader. The authors should try to use the available equipment instead of their personal laptop.

Authors should contact the session chair before the session starts and upload their presentation file on the available laptop. Please arrive early enough to find out the session chair and to tell him/her your name, affiliation and paper title.

Authors that must imperatively use their personal laptop (in case of special software needs or major compatibility problems), must check the connection with the projector before the session starts. Notice: time lost in setting up personal laptops during the session cannot be recovered and will result in a shorter presentation time.

The total presentation time is 20 minutes. This includes speaker transition, the setting of the computer (if needed), and questions & answers. Each speaker should finish his/her talk in 15 or 16 minutes in order to allow time for discussion.

Poster Sessions

The plenary poster session is intended to provide an interactive presentation of papers. The success of a poster session is attributed not only to the high quality of the papers selected but also to the authors' adherence to the guidelines for effective presentation in poster format.

The poster should allow the attendees to recognize the key points of the work easily from a distance of at least 1.5 meters (59.05 inches) and to facilitate more detailed discussions with the authors. Often the best poster comprises a few large significant graphs/illustrations annotated clearly with only enough text to headline key points like purpose, conclusions, and impact. Note that the poster should not consist of a copy of the manuscript.

General Guidelines

  • Poster sessions will be 3 hours long. Please check the session schedule on the web to see which day you are presenting.
  • It is essential that the authors affix the poster just before the start of the session and remove it immediately after the session has ended.
  • Authors are expected to be present to answer questions throughout their scheduled poster session. We encourage authors to prepare a short 5-minute presentation summarizing results reported on the poster.
  • The panel area for each poster is 1.2 meters (47.24 inches) high by 0.9 meters (35.43 inches) wide (slightly larger than Din A0).
  • The poster will be attached to the panel with push pins, which will be available in the poster area.
  • The authors are free to use one large poster or many smaller posters, as long as they fit in the provided panel area.
  • The title of the poster should appear at the top in CAPITAL letters about 25mm (0.98 inches) high. Below the title, put the author(s)' name(s) and affiliation(s). The flow of the poster information should be from the top left to the bottom right.
  • Appropriate use of color is encouraged.

Specific guidelines for smaller page sizes

Although larger paper formats are acceptable and even desirable, the poster might consist of a number of letter-size or A4-size pages taped to the panel. When opting for this solution please prepare the poster according to the following guidelines:

  • The paper title, authors and affiliation should be on a separated page.
  • A second page is to consist of a brief abstract outlining the key points of the paper.
  • Use a minimum font size of 18 points for text and 30 points for headings.
  • Limit text to 4-6 key points per page.
  • Limit graphs or illustrations to 2 per page. 
  • The poster should not be a print out of the paper.
